The Administrative Assistant processes primary source verification of ASCP credentials for third party requests, no-match verification orders and VisaScreen applications. Handles all correspondence, investigation and follow-up concerning the same. Processes name change requests, duplicate database record merges and updates the Personify database as required. Reviews and updates department procedures. Provides support for scanning and indexing records into Docuware and other special projects as assigned.
The Administrative Assistant must possess strong administrative and organizational skills, with the ability to pay close attention to detail. Excellent time management skills required to prioritize high volume work flow. The ability to manage multiple projects with time sensitive components over an extended period of time is imperative. Excellent customer service and communication skills, both oral and written required. Proficient in computer skills to research and maintain databases and identify issues as they occur. Ability to work well with fellow staff as well as outside vendors.
Process third party primary source verification of ASCP credential requests for state medical boards, employers and other third parties.
Process and submit VisaScreen applications to the CGFNS office.
Review, verify and process bi-monthly online replacement wall certificate orders and communicate with vendors related to the process as necessary.
Review and process name change requests.
Respond promptly to correspondence and inquiries regarding verification of credentials, wall certificates and name changes.
Research database records and archived documentation to verify credentials and obtain examination scores.
Monitor work flow, identify issues and makes recommendations for improvements.
Provide courteous and professional customer service.
Complete special projects for Director, Certification Activities as assigned.
Associate degree or 60 semester hours from a regionally accredited college/university strongly preferred.
Minimum of one (1) year of customer service experience. A minimum of two years of related work experience which includes computer proficiency (i.e., database and word processing).
Special Training Skills
Strong knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint)
Strong computer and database management skills
Proficient in business writing
Excellent communication (written and verbal) and customer service
Excellent organizational skills (ability to manage multiple projects simultaneously)
Ability to work congenially with co-workers
Ability to work independently and think critically to problem solve as needed
