This position is responsible to provide administrative support to the overall association with emphasis in the membership area.
Essential Duties & Responsibilities
Responsible for updating the membership database, including but not limited to posting timely and accurate information as part of membership retention/servicing needs. Some internet research or member outreach may be required to verify email and address information as needed.
Responsible for processing new members working in conjunction with the Resource Development Officer, including accurate data entry of new member information, creation of new member invoices, set-up and emailing welcome letters. Additionally assisting RDO with prospective member internet research for database updates and in preparation for SEAN conferences attended by ACCE team members.
Responsible for membership invoice mailings working in conjunction with the COO and assist with organizational mailings as needed.
Ensure adequate coverage for various administrative functions of the ACCE office, including but not limited to answering phones, emails and mail, sorting incoming mail, routing faxes, greeting visitors and overall office appearance caretaking.
Responsible for office technology which includes office phone system and programming, postage meter, copy machine, and replacement or upgrades for equipment. Assist with vendor relationship management, obtaining bids for new equipment purchases, and arranging for maintenance on equipment.
Keep office product inventory and purchase supplies as needed.
Responsible for ensuring recognition of employee team member milestones and events, i.e., birthdays, etc.
Maintain positive relationships with staff, members and prospective members to ensure the highest quality of service and the positive image of the association.
Works with leadership team and other staff to realize the association’s goals through a team effort.
Special projects as assigned, including ACCE annual Convention preparation.
