A national healthcare association, located in Chicago’s western suburbs, has an immediate opening for an Assistant to the President’s office. The individual chosen for this position will provide administrative support to the President via the Vice President of Human Resources and Administration and support the Board of Directors. Coordination of activities of the volunteer leadership will be an integral part of the position.
The successful candidate will be a self-starter who can interact with the organization’s staff of 100 as well as the executives comprising the membership board of directors. The ability to anticipate the needs of the president and volunteer leaders will be a key measure of success. Some evening and weekend meetings and travel up to six trips a year may be required.
Duties and Responsibilities:
Serves as administrative support for all activities of the Board of Directors. Working with VP, coordinates agendas, minutes and related items for the Board of Directors and other voluntary groups.
Coordinates meeting facilities arrangements, etc. for Board, advisory councils, and other voluntary groups.
Coordinates the work related to the appointment process to National committees, councils, and boards, as needed.
Documents and monitors the budget and expenses for the national board programs.
Maintains the information for the Committee Processing activity for National voluntary groups in the main database.
Arranges Chapter speaking engagements for the National Officers.
Prepares informational documents, including board policies, for the Board of Directors.
Handles requests for assistance from Board of Directors and other National voluntary groups, as well as the general membership, in coordination with the Vice President.
Attends meetings and voluntary leadership functions as requested by the Vice President.
Other duties as requested by the Vice President.
May attend off-site meetings to assist with meeting planning/coordination.
Arranges all travel for the President.
Prepares, and coordinates correspondence and presentations for the President. Serves in a supportive role to the Vice President and other members of the Executive Team.
Documents and monitors the budget and expenses for the President's Office.
Provides general assistance in operational matters as requested by the Vice President.
Participates as a team member/team leader as requested.
Demonstrated technology skill and comfort level with personal computers; knowledge of Microsoft Word, Excel and PowerPoint required; experience with other cloud based productivity tools preferred;
Skilled in project management, calendar & travel management, and meeting planning;
3-5 years’ experience in a business environment, preferably as a Senior Administrative Assistant or;
Experience supporting and relating to c-suite personnel – both within the organization, Board of Directors and other industry leaders.
Experience working in Human Resources.
Bachelor's degree strongly desired, preferably in Business Administration.
