TAPPI is seeking an organized, self-starter who can manage multiple projects. We are looking for a seasoned, meeting planner professional to join our events team to execute successful conferences and meetings. Previous non-profit experience is not required.
The Meeting Planner is a highly visible role which demands extensive customer service skills, a high level of professionalism and willingness to handle all planning and administrative details of meetings and events. The ideal candidate must thrive in a challenging and fast passed atmosphere where prioritizing and multi-tasking are the norm. Exceptional attention to detail and budgeting skills are mandatory. This position will report to the Events Department Lead and work with a team to produce events, meetings and additional projects as required.
Oversee and facilitate all aspects of meeting planning from site selection, vendor negotiation, event registration, budget creation, onsite staffing and post-event reporting
Prepare BEO information with event venues/hotels
Coordinate staff, vendor and VIP lodging requirements at event(s)
Create and manage budgets, tracking invoicing, expenses, event revenue, and budget reconciliation
Send out RFPs and manage event vendors for AV, Catering, Transportation, and Venues
Work with Event Coordinator to oversee meeting preparation, supplies ordering and packing/shipping of event materials
Create and send event communications via email, as well as updating the web team
Travel to and staff event(s), managing onsite logistics with facilities, catering, AV etc.
This is a contract only position. Not eligible for health benefits or 401k.
Strong computer skills to include: Microsoft Office, Excel and experience using online registration systems
Excellent written and verbal communication skills
Great team member: Willing to roll up your sleeves and pitch in to help your colleagues when needed
Ability to participate on some event conference calls/meetings.
Ability to travel to event(s) and/or site visits
Other duties as assigned by the Events Department Lead
