The International Association for Healthcare Security and Safety (IAHSS) seeks an Education Coordinator to join the organization during an exciting time of change and opportunity for the association. The IAHSS Annual Conference & Exhibition is on a growth track and setting new attendance records. IAHSS launched two new eLearning courses in 2018, and another course is scheduled for development in 2019. Our webinar program is expanding and our Industry Guidelines are gaining attention across the healthcare community.
The Education Coordinator will report to the Executive Director and will support the development and success of IAHSS’ educational programs and industry guidelines.
Work closely with the IAHSS Education Council and IAHSS staff team to develop and deliver educational programs both virtually and in person.
Collaborate with the Education Council to develop the program and secure speakers for the IAHSS Annual Conference & Exhibition
Manage the “Call for Presentations” process and support the Education Council in soliciting outside speakers of interest.
Coordinate speaker agreements and keep speakers informed of their responsibilities and deadlines. Collect and organize materials related to the program.
Support the speakers onsite and ensure their presentations are tested in advance and run smoothly
Maintain the program content and schedule on the IAHSS website, in brochures and for administrative and logistical purposes
Coordinate a webinar program of 6-12 webinars per year
Secure speakers approved by the Education Council
Coordinate with marketing colleagues to promote the webinars
Manage the administration and registration process for the webinars
Conduct a test webinar for each new speaker to ensure proper audio/visual
Handle introductions and reminders, and facilitate Q&A
Support the Executive Director, outside consultants and volunteer subject matter experts in the development of eLearning courses
Assist the team with project management, communications and budget tracking
Ensure proper content development and reviews are completed on time by the right individuals.
Ensure all content development and project-related materials are collected and well-organized.
Communicate with project participants to ensure project timeline and deliverables are met.
Liaise with the Learning Management System (LMS) vendor to ensure an efficient and effective process for individuals purchasing IAHSS eLearning courses. Work with LMS contacts to improve processes and fix issues as needed.
Track and report on eLearning participation
Respond to requests for support related to eLearning
Ensure the IAHSS website and the IAHSS Academy website contain current, consistent, clear and accurate information related to our eLearning programs.
Create program schedules, outlines, handout materials, presentation materials, online surveys, and evaluation materials for programs as needed
Develop and/or review online or print promotional brochures and content related to educational programs to ensure accuracy and completeness
Support the IAHSS Council on Guidelines in their development and promotion of IAHSS Industry and Design Guidelines
Manage the progress of guideline drafts and council materials through a Google Drive account
Develop surveys in Survey Monkey for each draft guideline and pull the data and feedback for the Council to review
Ensure final guidelines are approved by the IAHSS Board
Coordinate with marketing staff to write press releases for new guidelines and promote through the IAHSS website, social media and emails as needed.
Coordinate meetings of councils and sub-committees related to the Education Council and Guidelines Council, including handling logistics (space, hotel rooms, transportation, food and beverage), finalizing agendas with team leaders, taking minutes, and preparing and distributing supplemental materials
Maintain a central database / speakers bureau of thought leaders within the community of IAHSS and throughout the healthcare and security industries to develop a network of reliable content experts, speakers, and instructors
Contribute content as appropriate for monthly newsletter or other publications
Monitor and report on key performance indicators and metrics for all education and guidelines initiatives
Respond to member/non-member inquiries in a professional, courteous and timely manner
Other duties may be assigned by the Executive Director to contribute to the overall support and growth of the association
Qualifications & Core Competencies
Strong project management and organizational skills are a MUST!
Excellent writing and editing skills
Outstanding communication skills and a highly professional demeanor and approach
Ability to embrace change and to promote innovation and continuous improvement concepts
Ability to work independently with high level guidance to manage several wide-ranging projects, and to remain flexible with changing priorities. Work effectively as an individual contributor and within a team to support positive outcomes.
High level proficiency in Microsoft Office suite (Word, Excel, Powerpoint, Outlook)
Bachelor’s degree required
Minimum 3 years professional experience in adult education and curriculum design, instructional design, eLearning, developing professional certificate or certification programs, webinars and/or education program management.
Experience with a healthcare-related trade or professional association is preferred
Proficiency in GoToWebinars or other webinar tools preferred
Experience with eLearning development preferred
Experience with Yardstick or Proexams preferred
Some travel may be required (less than 5%), which may include occasional weekends
Chicagoland area candidates preferred. Relocation assistance is not offered. The IAHSS headquarters office is located in Rosemont, just steps off of the Cumberland Blue Line stop.
