Responsible for providing administrative and logistical support to ensure efficient management of the Academy Office. Provides key support to the Academy’s growing variety of membership and educational programs. Supports the Academy’s Executive Director and Managers by independently managing a variety of organizational and communication tasks. Responsible for handling confidential and time sensitive material in a professional manner.
Duties include, but are not limited to:
Exercise independent judgment in processing and responding to inquiries from Fellows and the public in a timely and professional manner.
Independently advise and assist Fellows, especially with membership and event registrations.
Help develop agendas for key Academy meetings.
Organize and schedule meetings and conference calls.
Independently maintain and update the calendar of events, Officer and Chapter Leaders, and other sections of the Academy Website.
Ensure that approved minutes are posted to the Academy Website in a timely manner.
Develop and coordinate email messages to Academy membership.
Maintain contact lists for all governance units (e.g., Board of Governors, ExCom, Committee Chairs.)
Maintain up-to-date email and mailing addresses for Academy Fellows.
Serve as the primary liaison with Building Management.
Maintain adequate supply of office materials and resources.
Ensure operation of Academy equipment by independently scheduling and completing preventive maintenance requirements; and calling for repairs as needed.
Maintain Academy computer and manual filing systems.
Develop and update Academy administrative systems to ensure efficiency.
Proven administrative or assistant experience.
Excellent written and verbal communication skills.
Developed “customer service” approach.
Track record of exercising independent judgment and discretion in assigned areas.
Track record of creative problem solving.
Knowledge of office management systems and procedures.
Excellent time management skills and ability to multi-task and prioritize work.
Great attention to detail.
Strong organizational and planning skills.
Proficient in Microsoft Suite, especially Word and Excel.Familiarity with Apple computers.
Knowledge of, or ability to learn, the YourMembership system.
At least 7 years of experience in the field or in a related area.
High school diploma or equivalent; college degree preferred.
