Administration, Leadership & Infrastructure
Build and strengthen relationships with the Foundation Board, the ASSP Board, and the greater ASSP community.
Prepare data and reports to be utilized by ASSP and Foundation leadership, volunteers and other stakeholders.
Board Relations & Governance
Administrative and operational support of all Foundation board and committees with activities such as scheduling meetings, securing space and services/meals for meetings, preparing and distributing meeting materials, preparing meeting minutes and follow-up, maintenance of board and committee records, etc.
Operational support of all Foundation programs and activities.
Maintain project management tracking and departmental deadlines.
Coordinate the Foundation Scholarship and Grant program in collaboration with manager, including:
Preparing application system for application cycle, review committee and award cycle.
Serve as point of contact for all scholarship and grant program questions (from applicants)
Serve as first-round reviewer to ensure eligibility of applicants
Prepare awardee packets for donors and track/disburse awardee thank-you letters and notifications of awards
Prepare awardee check processing, tracking reimbursements as necessary (grants and travel scholarships)
Database and fundraising systems data entry, reporting and miscellaneous support.
Support monthly reconciliation of fundraising efforts, process and track all gifts and pledges, update and maintain donor and fund management files.
All data entry and gift processing, ensuring timely and accurate entry and necessary coordination with the finance department.
Support data analytics and strategic measurement projects.
Develop and ensure the accuracy and timely distribution of daily/weekly/monthly giving and donor-related reports.
Process all department bills, invoices and expense reports.
Fundraising & Stewardship
Provide support for all fundraising, engagement and stewardship activities such as prospect research, reporting, donor impact reports, campaigns, appeals, special events, and direct solicitation.
Manage and process donor acknowledgement letters and other stewardship activities.
Marketing & Communication
Support of overall marketing and communications efforts of the Foundation, through content and messaging development and assistance with the management of the messaging across all platforms.
Performs work under general supervision. Handles moderately complex issues and problems.
1-3 years’ experience in a professional fundraising environment.
Advanced knowledge and skill in administrative support tools, techniques and best practices and ability to apply, adapt and use this knowledge and skills in the assigned work environment.
Must be willing and able to understand ASSP Foundation programs thoroughly enough to represent them across a variety of outlets and audiences.
Ability to translate information and data into meaningful, impactful communications, adapted for a variety of audiences.
Must be energetic, well-organized, process/detail-oriented with ability to multi-task.
Skill and ability to adapt to change and to be self-directed in a variety of situations.
Skill and ability to translate concepts and ideas into presentation-quality output using a variety of media such as letters, reports, minutes, executive summaries, PowerPoint and other presentations, charts, spreadsheets, etc. Skill and ability to independently compose copy that reflects the voice and branding of the organization.
Demonstrated strong organizational and project management skills.
Flexibility in dealing with changing priorities and a demanding workload.
Willingness and ability provide high-quality, responsive and thoughtful stewardship.
Ability to work with a variety of individuals, including members, donors, staff, executive leadership and volunteers.
Mastery of Microsoft Office Suite, familiarity with membership and donor databases a plus. Awareness of and ability to learn how to develop and utilize reports using a variety of data sources.
Ability to work regular hours during the day, Monday – Friday.
Ability to travel occasionally to the annual conference, and other meetings and conferences as identified.
