The organization is seeking a Registration and Housing Specialist to support AAS’s meetings and conventions. If you like to be depended upon to help an organization deliver a core service, this may be the opportunity for you! Here’s what you’ll enjoy doing:
Managing registration for meetings ranging from 40 to 3000 registrants.
Overseeing registration websites and working with managers to verify financial and registration data.
Processing pre-registrations including payment and responding to inquiries.
Managing participation for special groups such as VIP attendees, award winners, staff and contractors.
Processing accounting batches, and reporting on registration and hotel pacing,
Monitoring and auditing hotel sleeping accommodation commitments.
Managing travel coordination for staff and vendors.
Packing meeting shipments.
Directing on-site operations related to registration.
Managing post-meeting activities such as refunds and reconciliation.
Our ideal candidate possesses:
Bachelor’s degree desired, plus two to four years’ experience in meeting & convention industry or event/meeting planning.
Demonstrated knowledge of hotel contracts, room block commitments and financial impact of those contracts as they relate to group housing commitments.
Demonstrated experience providing customer service with a collegial disposition, positive attitude and a dedication to providing exceptional customer support.
Excellent organizational skills with ability to focus on multiple tasks effectively, adapt, multitask and prioritize competing deadlines while focusing on details and exercising independent judgment.
Strong communication and interpersonal skills with the ability to comfortably and professionally interact with a wide variety of individuals.
Proficient computer skills, including Word, Excel and PowerPoint. Learning agility to use new software programs; proficiency in online abstract submission and Event Management systems and iMIS 20 desired.
Ability to work both cooperatively as well as independently; flexibility to “go with flow” and re-prioritize, as needs change.
