About the role.

The Specialist will provide on-site support at the following meetings - Executive Leadership Conference, Annual Meeting, Automation Conference, Top to Top, Joint Committee Meeting, CPC Conference, CPA Annual Meeting, etc.
Visit potential sites with the Director of Meetings and Events to identify potential meeting venues throughout the year.
Support the Meetings Assistant with the coordination of member, non-member and other meetings handled through the Meetings Department.
Take the lead in creating Banquet Event Orders for various meetings.
Review shipment lists with Director of Meetings and Events and work with Events Assistant to execute list.
Ensure that all needs of speakers and VIPs are met, including hotel rooms, ground transportation, AV check calls, etc.
Work with Marcomm to update websites with speaker bios/pictures, hotel info, agenda updates.
Research and reconcile event bills and invoices as required.
Manage the on-site coordination of setting up and maintaining a registration desk, materials display, and office.
Work with Event Assistant with creation of signage at all meetings.
Assist Director of Meetings and Events with planning staff holiday party and other staff events.
Review and test Cvent Meeting registrations.
Ensure that necessary meeting files are created and maintained throughout the year.
Assist Show Department on various PACK EXPO projects as needed pre-show and onsite.
Support Director of Meetings and Events in creating Budgets at the end of the year.
Take the lead on PMC Meetings – Book hotels and finalize BEO’s. Work with Event Assistant to put together shipment and setup registration
Assist Communications Department in creating and updating apps for meeting and continue maintenance after app is created.

What we are looking for.

4-year college degree or equivalent, preferred.
2-5 years of professional experience in meetings / events
Strong work ethic, competitive drive and collaborative attitude.
Commitment to quality and detail.
Self-starter, able to work independently.
Flexible, a team player who can adapt to changing program needs.
Able to balance several projects at once and thrive in a fast-paced environment.
Solid organizational skills.
Must possess excellent computer skills including advanced knowledge of Microsoft Suite
Knowledge and comfort level with an Association Management System or events registration software. (Cvent preferred).
Must be available to travel.
