The Executive Assistant will be responsible for providing high level administrative support to the Chief Executive Officer and Maryland REALTORS® volunteer leadership. This person will be the point of contact for the CEO, staff and volunteer leaders. The Executive Assistant will handle a wide variety of duties in a confidential manner and will maintain a position of high visibility to board members and key volunteers.
Maryland REALTORS® serves over 27,000 professional REALTOR® members from Maryland. We are responsible for developing public policy, legislative advocacy, political affairs, legal and regulatory services, education, professional standards and communications programs.
Process new staff hires
Manage internal operations across all departments
Plans and develops office policies and procedures
Supervises 2 administrative support staff
Leadership Support Responsibilities:
Provide high level administrative support to the CEO.
Serve as a primary contact for Maryland REALTORS® volunteers (Board and committee members).
Assist board members with conference registrations, travel arrangements, lodging, and meal planning as needed.
Serve as primary contact for property manager and leasing team on Association-owned real property.
Adhere to compliance with applicable rules and regulations set in bylaws regarding board and committee matters.
Participates as a member of the Senior Leadership Team.
Purchase corporate gifts for a variety of events.
Oversee office support functions to ensure business expectations are met.
Maintain files, records, and minutes.
Draft agendas, ensure meeting room reservations and record minutes.
Register Maryland REALTORS® Leadership and CEO for National Meetings, including hotel and flight arrangements.
Respond to inquiries regarding each meeting and
Setup and staff Maryland REALTORS® governance meetings (Executive Committee, Board of Directors, General Membership, Real Property Operations, Committee Selection, Presidential Council.
Manage online meeting program, including uploading documents (currently using BoardPaq)
Plan receptions, business dinners and luncheons.
Manage Real Property committee
Assist in setting up conference rooms for meetings, including reconfiguration of furniture, distributing meeting materials.
Maintain Outlook calendars for ongoing meetings and events.
Record keeping of meeting planning documents, including registrations, confirmations, and headcounts.
Occasional daytime travel to local meetings and events.
Attendance and staffing of 3-day Annual Maryland REALTORS® Conference.
Bachelor’s degree in business or equivalent
Minimum of 10-years work experience supporting C-Level Executives, preferably in a non-profit or trade organization
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with exceptional attention to detail.
Experience and interest in internal and external communications
Experience in meeting/event planning preferred
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
Excellent writing and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capability
Highly resourceful team-player with the ability to be effective independently
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response
Proficiency in Microsoft Office Products, Outlook, Word, Excel, PowerPoint
Database experience a plus
