The American Association of Pharmaceutical Scientists (AAPS) in Arlington, VA, a professional scientific society, is recruiting a Business Development Coordinator. The Business Development Coordinator assists the Business Development Department in the coordination of the sales processes and templates and sales projects. The Business Development Coordinator works closely with outside clients and builds and manage relationships with the external clients. The position works closely with all other AAPS departments as needed to ensure smooth transactions. The position reports to the Director of Corporate Engagement.
Essential Duties and Responsibilities
Develop and implement sales support standards and processes to maximize efficiency and standardize sales processes;
Assist in developing timelines and proposal deliveries in a timely manner;
Create and prepare meeting agendas, processes, etc.;
Enter sales order information and invoicing;
Manage HubSpot including implementing KPIs and dashboards;
Lead training sessions on new sales tools, templates, and processes;
Assist in the implementation of new templates and optimization of existing templates;
Research, recommend and help implement new sales tools and software that can improve sales team performance;
Collaborate with marketing to develop sales collateral;
Manage all sales reporting, forecasting, and analytics through CRM system;
Run and distribute weekly sales report;
Effectively communicate sales deliverables with internal staff to ensure contracts are fulfilled and assist in fulfillment where needed;
Assist in sales prospecting in collaboration with Marketing Manager;
Research, recommend, and develop demand generation and nurturing activities and programs;
Support business development ROI through analysis, pre-meeting outreach, post-meeting follow-up, and logistics;
Assist in appointment setting;
Support team during project calls when needed;
Support Development Committee, including developing & distributing agendas, setting meeting dates, note-taking, and follow-up on action items;
Act as main point of contact for AAPS’ largest supporters, providing them with exceptional customer support; and
Assist with VIP events for existing and prospective clients including list development, shipping, venue coordination, etc.
Strong writing and editing skills and experience using style guides.
Proven experience and ability to multi task and handle multiple projects and deadlines.
Experience in a web-based email management system.
Experience with a CRM, preferably HubSpot.
Ability to analyze and report on key data metrics; strong Excel skills are necessary.
Excellent oral and professional writing skills.
Excellent analytical understanding and reporting skills.
Strong time management, prioritization, and project management skills.
Proven success working in a team-oriented, collaborative environment.
Professional demeanor and comfortable supporting C-suite level clients.
Education and Experience
Experience with CRM and other project management tools
Strong knowledge and understanding of CRM systems (HubSpot preferred) as well as MS Office, esp. Word, PowerPoint, Excel.
Bachelor’s Degree required. Degree in business-oriented field preferred.
Experience with complex, high-dollar sales in a relationship-driven market desired.
