The Water Environment Federation is seeking a Conferences & Events Management Specialist to join its team. This person will be responsible for day-to-day operations and administrative duties in support of the Conferences & Events Management team; executing arrangements for small in-house and off-site meetings; and oversight of the show management office during WEF’s annual meeting (WEFTEC).
Performs administrative functions, including data entry; internal & external communications; website updates; and other duties as assigned.
Serves as primary liaison with WEF’s travel agency, maintaining authorized user information; managing the onboarding process of new travelers; and communicating travel-related information to staff and other authorized users.
Manages small off-site and in-house meetings, contracting venues; developing & managing budgets; overseeing event registration; coordinating logistics; producing event resumes for venues & vendors; and managing functions on-site, as applicable.
Coordinates show management freight shipments for WEFTEC, specialty conferences, and other meetings.
Coordinates the WEFTEC facility tour program.
Assists with logistical arrangements for WEFTEC workshops, updating logistical requirements in logistics database, confirming requirements with workshop chairs.
Coordinates social events during WEFTEC, creating & delivering invitations, and assisting with logistics & menus.
Coordinates and ensures accuracy of internal and external marketing/promotional information provided by the Conference Services team for WEFTEC and Midyear Meeting.
Coordinates staff briefings for WEFTEC, scheduling meetings and preparing information for distribution.
Oversees the WEFTEC show management office and staff dining room on-site.
Oversees VIP attendee conference registration for WEFTEC.
Coordinates Midyear Meeting attendee registration in advance and on-site.
Supports registration staff, answering the registration line and processing registrations for events that are handled in-house, as needed.
Other duties as assigned.
Bachelor’s degree in a related area or commensurate experience.
3 - 5+ years related experience.
Customer service focus and good people skills.
Computer literate with Word, Excel, CMS, and database proficiency.
Experience providing association conference support and registration software preferred.
Excellent interpersonal, verbal/written communication, and telephone skills.
Excellent proofreading skills.
Detail oriented and accurate with excellent organizational skills.
Ability to manage multiple fast-paced projects and perform well under pressure.
Ability to work independently, troubleshoot problems and meet deadlines.
