JOB DESCRIPTION ASAE helps associations, and the professionals who lead, manage, and work in them, transform society through the power of collaboration. We are looking for someone to join our team as the Manager, Volunteer Relations. Summary/Objective The Manager, Volunteer Relations is responsible for creatively and proactively overseeing assigned volunteer groups and awards programs, planning, and management of volunteer program of work and initiatives based on ASAE’s strategic priorities. The Manager is responsible for the full fiscal and council cycle for each volunteer group. Volunteer Management - Provides coordination support to volunteer councils/committees.
- Serves as Staff Liaison for two councils/ committees, and Ad hoc volunteer groups, which require working with council/committee leadership and members to:
- Share with ASAE staff ideas and feedback from volunteers on ASAE products and services.
- Identify and create content for ASAE members.
- Advise and contribute knowledge to volunteers as they work.
- Respond to all volunteer and staff requests within prescribed department guidelines.
- Schedules, plans, and coordinates volunteer meetings, as necessary.
- Collaborates with multiple departments to create in-person and online professional development opportunities for assigned functional and special interest areas of ASAE membership.
- Supports the development of documents, policies, and practices for onboarding new and returning volunteers to councils/committees.
- Ensures that ASAE’s priorities and expectations for volunteers are straightforward and clear in onboarding process, operations, and throughout the council/committee year.
- Supports the development and recruitment of Ad Hoc/Short-term volunteer opportunities.
ASAE Leaders Retreat - Assists the Senior Director, Volunteer Relations, and the representative from Meetings & Learning in managing the logistics for the Leaders’ Retreat.
- Disseminates correspondence related to the Leaders’ Retreat.
Awards Program Management - Plans and manages the ASAE Gold Circle Awards and ASAE Honors Awards programs including developing and coordinating the application process, judging process, marketing and promotions, website content development, recognition/ceremony, etc.
- Collaborate with internal stakeholders on the awards program’s annual budget and sponsorship funding opportunities.
- Communicate awards program goals, plans, and updates to ASAE supporting staff for the program, as well as for the Marketing Membership Communication Conference supporting staff.
- Supplies staff training to applicable staff members on volunteer management and ASAE program software including Aptify, Collaborate, OpenWater, and any other software used to support ASAE programs.
- Works closely with key internal departments including marketing, communications, social media, meetings & learning, ABSI, editorial, and website to ensure the completion of Gold Circle Awards program tasks and responsibilities throughout the program year and during the Marketing, Membership, & Communications Conference.
- Serves as the staff lead and liaison on developing and operationalizing committee and awards program best practices.
- Regularly reviews application, policies, procedures, website, awards categories/ descriptions, and criteria, along with the support of the Gold Circle Awards Committee and ASAE Honors Award Committee, to maintain accuracy and maximize efficiency of the program.
- Manages and executes the planning of onsite activities and logistics at the Marketing, Membership, & Communications conference for the awards program, if applicable.
- Coordinates with the Meetings and Learning team on activities related to the ASAE Honors ceremony.
- Manages and facilitates onsite and digital recognition of award recipients and judges/volunteers at the Marketing, Membership, & Communications conference, ASAE’s Annual Meeting & Exposition and other areas where appropriate.

Supervisory Responsibility This position has no supervisory responsibilities.
Work Environment This position operates remotely or in a professional office environment. This role routinely uses standard office equipment such as computers, phones, etc.
Physical Demands This position requires the ability to lift up to 20 lbs.
Position Type and Expected Hours of Work This is a full-time position. Work hours are flexible; office core hours are Monday through Friday, 8:30 am to 5:00 pm; however, the ability to work before and after-hours, weekends will be required, on occasion. Due to the pandemic, this position is temporarily remote.
Travel No more than 10% of travel is expected for this position.
Required Education and Experience - Bachelor's degree in Business Administration, Communications, or related field required.
- Minimum of 2-3 years professional experience and knowledge of best practices and strategies.
- Working knowledge of Microsoft Office suite or related software.
Preferred Education and Experience - Minimum of 3-5 years professional experience and knowledge of association management best practices and strategies.
- Minimum of 2-3 years professional experience managing association awards programs.
Work Authorization/Security Clearance (if applicable) Must be eligible to work in the United States.
