Position: Marketing and Meetings Coordinator
Reports to: Marketing Manager

Now for the obligatory standard job details……
This position is responsible for aspects of marketing and managing events for NPMA and our Association Management clients. Under meetings, responsibilities include assisting in the process of meeting and exhibitor registrations, including assisting with member questions, data-entry, invoicing, speaker communications, event confirmations and registration reports for both NPMA and AMS meetings. In addition, marketing responsibilities include managing NPMA’s social media presence, maintaining websites, and assisting with development and execution of marketing plans for conferences.
Answering phone calls and emails from members and vendors regarding events
Compiling weekly registration reports
Purchasing, packing, and shipping materials needed for all meetings, conferences and events
Registration data entry into Aptify database
Coordination and organization of all speaker communications, expenses, and presentations for all conferences
Aid in the process of applying for recertification credits from states
Other duties as required
Work with marketing team to develop and implement a social media strategy, and consistently analyze metrics and trends.
Update content on main NPMA website, event microsites, and State Association websites
Maintain NPMA events within NPMA’s mobile app in preparation for conferences
Assist with the execution of marketing plans for meetings and webinars, including but not limited to electronic promotions, development of printed programs, PowerPoint presentations, and social media.
Develop and distribute monthly newsletters for managed State Associations
Work collaboratively with staff to process large mailings
Perform general administrative duties, including serving as member of back up team for answering telephones, database entry, etc.
Previous experience working with a website CMS preferred
Advanced knowledge of social media applications
Familiarity with Aptify preferred
High familiarity with Microsoft Office, including Word, Excel, Outlook
4-year college degree
Strong organization, time management and multi-tasking skills
Strong team skills and ability to work to deadlines in a high volume department
Flexible and adaptive to change
Strong communication skills, verbal and written, in order to communicate effectively internally with multiple departments and externally with association members
Superior, professional customer service skills via telephone and written communication with effective interpersonal skills and attention to detail
Experience with virtual event platforms and implementing virtual meetings a plus
