The CLE and Membership Assistant is a great opportunity for a rising association professional to join a collaborative team and make an impact on one of the critical functions of the association. The CLE (Continuing Legal Education) and Membership Assistant is responsible for the administration of AIPLA’s CLE program including course accreditation and certificate processing. This individual works closely with the Professional Development Coordinator to update and maintain AIPLA‘s Online Learning Center, website, and database as needed. The position also supports the Member Services department by serving as the primary staff contact for our Corporate Subscription members and our international chapter (AIPPI-US) members.
Essential Duties and Responsibilities
Research each state’s CLE requirements and regulations and maintain tracking spreadsheet with up-to-date information
Administer CLE processes for in-person and online association programs in compliance with individual state requirements. Duties include:
Submit and track CLE applications to each state in accordance with state specific requirements
Compile attendance rosters and distribute Certificates of Attendance to attendees
Create and maintain evaluation summaries for all programs
Create and maintain program/course files for association and state records
Maintain accurate record (budget) of all CLE expenses
Serve as the primary point of contact for member inquiries on CLE and online program registration
Provide onsite CLE and member support at AIPLA stated meetings
Create and compile all required CLE paperwork for distribution at live meetings
Website & Database Updates
Update and maintain the AIPLA webpages relating to online programs and CLE accreditation
Update and maintain online webinar archives
Support the Sr. Manager of Membership & Professional Development, the Professional Development Coordinator, and Online Programs Committee as needed with online programming, including:
Extract information from the database in the form of queries and specialized reports
Create, revise and maintain department SOPs
Maintain and update member records and registrations in NetForum database
Work with Professional Development Coordinator to track billing and usage of Corporate Subscription program and act as primary point of contact for all corporate subscription members
Manage AIPPI-US membership support and billing; including maintaining current data in NetForum and on the AIPPI International system
General member services support as needed such as: payment processing, account updates, member inquiries, etc.
This position requires a highly organized, detail oriented, enthusiastic and flexible individual who is capable of handling multiple projects at the same time. Candidates must be comfortable in a fast-paced environment, have demonstrated customer service experience, and strong written and verbal communication skills. They must be able to work both independently and as part of a team and be able to manage priorities and time wisely. Must have ability to travel overnight during our 3 stated meeting per year. 1-3 years of association experience preferred. Database management experience desired. Knowledge of MS Office required. Desire to improve processes strongly desired.
